Attendance Taking App [Web + App System]

This custom-built Attendance Taking Website and App System will let you take event attendance in a lean, mean and cool way. No more papers. Just use a device, ANY device (mobile or desktop), even a borrowed device, and you are ready to take attendance for your event.

What is this Proposal About?

I will develop for you a custom-built [Website + App System] so that you can take attendance for your functions / events / seminars / congress / etc in a more productive, leaner way. Your workflow and productivity will improve. You will be able to manage or delegate your business tasks easily and efficiently. And yes, with your system, your company will appear cool to your attendees as well.

Workflow of the Whole System

  1. You will have a front-end website to give the public more details about your event.
  2. Example of such details: the History behind the event, who are the Speakers, what is the Event Schedule, what is the menu of Refreshments and so on. And, of course, any other details that you want to be include.
  3. You might do this front-end website yourself, with your own team or have me do this.
  4. Irrespective of that, there can be a section in this website for people who are interested in attending the event, to do a Registration.
  5. Registration means signing up for the event by filling in a set of details, like Name, Mobile number, checking some check boxes and such. Sometimes, it can even involve payment such that there are different tiers of payment for the event. For example: Gold Seats, Platinum Seats and such. In such cases, the respective payment amount can be immediately paid for by the Registrant using a Payment Gateway of your choice (usually Paypal).
  6. Registrant will get an immediate auto-email with details of the registration and also any other details that's required for him to know regarding the Event.
  7. That is the end-of-flow for your event Registrants to sign up.
  8. So, what typically happens in the back-end is that all these info/data are captured in the system database, for further use according to business needs.
  1. Between the launch of the website and the event date, the organiser will need to give regular updates to the Registrants.
  2. With our feature-rich Admin Control Panel (ACP), you will be able to do just that, to all those who have signed up, with just a click.
  3. So, no Registrant is clueless about your latest updates.
  1. Dashboard overall view of key figures and notes.
  2. This is the main control panel for Admin (which in this case is the Event organiser) to oversee ALL the data/info/details regarding this event.
  3. View All Registrants: Admin can view all the registrants as a brief-overall, as well as detailed drilled-in view.
  4. Cancellation: facility to do a cancellation of a Registrant if required.
  5. Edit of details: facility to edit the details of the Registrant
  6. Reports, for example:
    1. Full list of Registrations
    2. able to download as PDF or Excel
    3. Other unique reports as required by Management
  1. There will be one or more people (Staff) in charge of taking attendance of people who arrive for the event.
  2. No papers are involved. The attendee will just say his name or ID number. Staff will type a few letters of his name, verify his full name, and click the button [Present] beside his name. That's it.
  3. No bulky attendance counters are needed. In fact, a solo staff standing at the entrance with a mobile phone is sufficient already.
  4. Sometimes, a pass is issued to all Attendees. In such case, clicking the [Present] button will mark them as present and also send an instruction to the printer to print the pass for them. Alternatively, you can use the ACP to print out all the cards in advance of the event.

  6. After website registration, the auto-email can include a QR code sent to the Attendee, which he can show using his mobile phone.
  7. On event day, he just shows this code, and Staff uses a QR reader linked to our system, and attendance is taken automatically. QR reader can mean a dedicated hardware reader or just your mobile phone.
  8. Further to this, any special notes can be added for any Attendees.
  1. Registrant can access the website using ANY device of his choice, be it PC, Mac or any Modile Devices. ALL site and system are mobile-responsive-designed, meaning they fit respectively into the device of access.
  2. Mobile notifications: you know that your apps sometimes give you notifications on your phone (maybe about someone raiding your village, or your google album is ready for viewing, or even an incoming Whatsapp message). All these are called notifications. We can also implement such notifications to inform Registrants of the upcoming event, or if there are any important updates to notify.
  3. Various payment options:
    1. pre-payment by Credit Card/Paypal
    2. post-payment by Payment on Event Date
  4. Whatever that is on the Proposal page are just my ideas. Almost anything else that you can think of can be implemented.
